RFID Tool Tracking System: Tags and Scanners for Tool Cribs

Hand tools, torque wrenches, gauges and power tools move between the crib, the shop floor, service vehicles and contractors many times in a shift. When one goes missing, work waits while people search, and in aircraft or vehicle maintenance a tool left behind is a safety risk.

RFID gives every tool an identity that a reader can confirm without anyone scanning a label by hand. Because tools are metal, the tags on this page are on-metal UHF types, from a few millimetres across for slim spanners to rugged blocks for cases and machines. The issue, return and calibration software is on IdentiumOne.

How it works

  1. 1

    Tag every tool

Fix an on-metal UHF tag to each tool with adhesive, rivets or screws, sizing it to the space available. Register the tag ID with the tool name, serial number and next calibration date.

  2. 2

    Issue at the crib counter

The technician is identified at the counter and places the tools on a smart tray. Every tag on the tray is read together and booked out to that person.

  3. 3

    Watch the doorway

A fixed reader with antennas at the crib door or workshop exit records tools going out and coming back, catching items that skipped the counter.

  4. 4

Count before and after each shift

A handheld sweep of a toolboard, trolley or work bay confirms that everything booked out has returned. LED tags light up when read, which makes one misplaced tool easier to spot.

Hardware you need

Tool cases and power tools

The Encore on-metal tag is a rugged block that fixes with screws, rivets or adhesive and reads at long range on metal. The printable ID-UM6025 label (60 x 25 x 1 mm) shows the tool number in print and in the chip, and can be printed and encoded in house on the IT4RL, which handles on-metal labels up to 1 mm thick.

Slim hand tools

Miniature PCB tags such as the 10 x 4 mm IDTS-1004 or the 19 x 7 mm IDTS-1907 fit on spanner shanks, pliers and screwdrivers, reading at about 1.2 m and 2.5 m on metal respectively. Even smaller parts can take the 5 mm IDTS-D05 disc or the 6 x 3 mm IDTS-0603, at about 0.5 m.

Heat and harsh duty

The Steelcode ceramic tag is rated from -30 °C to +300 °C and fixes with epoxy resin or a rivet, a good match for jigs, moulds and tools that go through heat treatment or hot process lines.

Find-me tags

The IDTS-5213-LED on-metal tag has a green LED that lights up when the tag is read, visible from about 2 m, which helps pick out one tool in a crowded drawer.

Crib counter and doorway

At the counter, the CX111T smart tray has a near-field, short-range antenna and adjustable output power, which help limit reads to the tools set down on it. For the crib door, the IHZ4 four-port reader runs up to four antennas such as the 9 dBi circular panel.

Shift counts and audits

The CX1500N rugged handheld reads a toolboard or trolley in one pass for pre-shift and post-shift counts and for audits across sites.

The software

The tags and readers identify each tool; the RFID Tool Tracking System from IdentiumOne decides what every read means. It books tools out and in against a person, flags overdue returns, reconciles shift counts and reminds you when a gauge or torque wrench is due for calibration. Why teams use it

  • Each recorded tool movement is tied to a named person, so a missing item has a last known holder.
  • End-of-shift counts take one handheld sweep instead of a paper checklist.
  • Calibration dates live on each tool's own record rather than in a separate register.
  • Tags sized to the tool, from tiny PCB discs to rugged blocks, so even slim hand tools can be tracked.

Frequently asked questions

Will a normal RFID sticker work on a steel tool?

No. Ordinary paper or PET labels read poorly or not at all when stuck to metal. Use an on-metal tag, which is designed to work with metal behind it. Every tag in the hardware list on this page is an on-metal or ceramic type.

How small a tag can I fit on a hand tool?

The store lists on-metal PCB tags only a few millimetres across, for example the 5 mm IDTS-D05 disc and the 6 x 3 mm IDTS-0603, and some miniature PCB and ceramic tags are smaller still. Tags this small read at around half a metre or less on metal, so pair them with a handheld or a smart tray rather than a doorway reader.

Can I print tool numbers on the tags myself?

Yes, with printable on-metal labels such as the ID-UM6025. The IT4RL desktop printer-encoder handles on-metal labels up to 1 mm thick, so the tool number is printed and the chip encoded in one step.

Where does the check-out software come from?

The store supplies the RFID hardware. The issue, return, overdue alert and calibration software is the RFID Tool Tracking System from IdentiumOne, where you can request a demo.
